City Clerk's Office

 The City Clerk's office provides a secretariat for City Council by preparing agendas and minutes for Council meetings as well as providing all correspondence following each Council meeting to inform interested parties of City Council's actions. The City Clerk's Department also is the depository for all City By-laws and Agreements, which are indexed for easy reference.

This Department is responsible for licensing issues, Animal Control, Vital Statistics (births, deaths and marriages) and notices such as notice of adoption of amendments to the City's Official Plan, notice of amendments to the Zoning and Heritage Designation By-laws, facilitation of tile drain loans for farmers within the City, fence viewing, etc. In addition, the City Clerk processes access requests under the Municipal Freedom of Information and Protection of Privacy Act.

Applications can be made to the City Clerk's Department for tax adjustments for businesses in a home or as a result of demolitions of all types of property.  Assessment Rolls are available for viewing at the Clerk's Department.  Basic property information and assessed values are also available at the Municipal Property Assessment Corporation (MPAC).

 The City Clerk is the Returning Officer for Municipal Elections in the City of Sarnia, and must make all physical and administrative arrangements for elections, including hiring Poll staff, reserving polling places and meeting all legal requirements with respect to notices, voting lists and candidates.

Under Province of Ontario legislation, Municipal clerks and Deputy clerks are Commissioners for taking affidavits.  The City Clerk’s Department provides commissioning services for a fee of $30.00.  The City Solicitor/Clerk is also a Notary Public.  If you require this service for a fee of $30.00, please call 519 332 0330 extension 3262;  TTY: 519 332-2664.  Individuals who wish to have a document commissioned must come in person to City Hall and be prepared to provide identification containing a picture.  This service is offered by appointment between the hours of 8:30 a.m. and 5:00 p.m. on weekdays.
